What we collect

FuelBack MO collects the account, vehicle, receipt, and claim-preparation information you provide so we can help organize your Missouri fuel tax refund claim.

We may also collect operational details like login activity, billing status, and scan usage needed to run the product securely.

Categories of information

The information we process may include your name, email address, mailing address, phone number, vehicle details, receipt images, extracted receipt data, claim-year settings, account preferences, authentication events, and payment status details.

We may also collect technical information such as device or browser details, IP address, log data, session metadata, and service diagnostics used to secure, operate, and improve the product.

What we do not store

FuelBack MO does not intentionally store the Social Security Number, tax ID, routing number, or bank account details you enter during the final client-side PDF completion flow.

Those values are merged into the PDF in your browser and downloaded to your device without being posted to our server.

Sensitive information notice

Although FuelBack MO is designed so certain final-form fields can be completed on your device without being sent to our servers, no internet-connected system can be guaranteed to eliminate every possible device-side or browser-side risk. Your downloaded files, browser settings, local device backups, autofill tools, or third-party sync services may still retain information on your device or within services you use.

You are responsible for protecting your device, downloaded documents, email attachments, and any third-party storage or sync tools that may handle your files after download.

How we use your information

We use your data to extract receipt fields, organize records by vehicle and claim year, generate refund estimates, support billing, and help you prepare Missouri Form 4923-H.

We may also send product updates, filing reminders, security notices, or optional promotional emails based on your communication preferences.

How automated tools are used

FuelBack MO uses automated systems, including third-party artificial intelligence and validation services, to read receipt images, extract fields, standardize addresses, estimate confidence, and help prepare claim materials. These systems may make mistakes, miss fields, or infer information incorrectly.

Automated extraction is provided as an organizational aid only. You remain responsible for checking all extracted values and all final filing materials before relying on them or sending them to Missouri.

Receipt images

Receipt images are stored so you can review, edit, and export your claim packet. They are not intended to be public.

You are responsible for deleting receipts you no longer want stored in the app.

Third-party service providers

FuelBack MO relies on third-party service providers to operate parts of the product, including hosting, databases, object storage, authentication, email delivery, payment processing, artificial intelligence, and address validation. Those providers may process your information on our behalf as needed to perform their services.

We are not responsible for independent acts, omissions, outages, policies, or security practices of third-party providers, payment networks, email clients, cloud-storage tools, or government filing systems you use in connection with FuelBack MO.

How information may be shared

We may share information with service providers, infrastructure partners, fraud-prevention tools, payment processors, and professional advisers as needed to operate the service, comply with law, enforce our terms, protect users, or support corporate transactions.

We may also disclose information if we believe disclosure is appropriate to respond to lawful requests, protect rights or safety, investigate abuse, enforce our agreements, or prevent fraud or misuse.

Retention

We retain information for as long as reasonably needed to provide the service, maintain records, support claim-year access, comply with legal obligations, resolve disputes, enforce agreements, and protect the service. Different categories of information may be retained for different periods.

Deleting a receipt or account may not immediately remove all associated information from backups, logs, fraud-prevention records, audit trails, or operational systems that are retained for security, compliance, or business continuity purposes.

Email communications

You can control optional member emails like product updates, filing reminders, and occasional offers from your account settings.

We may still send essential service, security, or billing emails when needed to operate your account.

Security

We use reasonable technical and organizational measures intended to help protect information, but no method of transmission, storage, authentication, or cloud processing is completely secure. We do not guarantee that the service will be free from unauthorized access, interception, loss, corruption, or compromise.

You are responsible for maintaining the security of your credentials, devices, email account, downloaded files, and any third-party tools you use to receive or transmit claim materials.

Children's privacy

FuelBack MO is intended for adults using the service for their own records or claims. It is not directed to children, and we do not knowingly collect personal information from children.

State, tax, and legal limitations

FuelBack MO is a recordkeeping and preparation tool only. We do not represent the Missouri Department of Revenue or any government entity. We do not determine your legal eligibility, guarantee a refund, or promise that any government filing will be accepted, processed, or paid.

Your use of the service does not create a fiduciary, legal, tax-adviser, accounting, agency, or representative relationship with FuelBack MO.

Changes to this policy

We may update this Privacy Policy from time to time. Continued use of FuelBack MO after an update becomes effective means you accept the revised policy.

Your responsibilities

You are responsible for reviewing receipt information, safeguarding downloaded PDFs on your device, and verifying all filing details before submitting anything to Missouri.
